How we work as a TYPO3 agency.

So that you know where your project stands.

At the start, we clarify responsibilities, the planned scope and the next steps. During the project, we record tasks, decisions and work states transparently.

This way you know who is responsible, what has already been achieved and where we need your feedback. If effort or schedule change, we talk to you about it early.

Kick-off

A shared basis for the project.

After the order, we bring the responsible people to one table. Together we clarify goals, user groups, editorial processes and the technical framework. We also look at experience from previous projects and open points that are important for further planning.

This is not only about what is to be developed. We also record who makes decisions, which content or access is needed and how the next stages and approvals are organised.

The billing model and calculated scope have already been agreed at this point. If new findings arise later that affect effort, schedule or budget, we raise them early. We agree additional services with you before implementing them.

For every website we support, we set up a separate test environment. There we develop and test changes before they are published in a controlled way. We jointly define which approval process applies – including a separate procedure for urgent security measures.

We manage source code and relevant configurations via GitLab. This keeps changes and earlier development states traceable. We additionally regulate the backup and restoration of content and databases via the agreed backup concept.

We record tasks, decisions and work states transparently. If we want to work together in the ticket system, we set up suitable access for your project. There you can see open, ongoing and completed tasks as well as feedback that is needed.

Alternatively, we coordinate by e-mail. We bundle important information in a client folder. We agree which contact channels and supplementary status meetings we use at the start of the collaboration.

You can reach us Monday to Friday from 9 am to 6 pm German time (CET/CEST) via our central phone number and e-mail address.

If your contact is absent, the usual contact channels remain in place. We organise cover and pass on the information about ongoing tasks. For planned longer absences, we agree open and time-critical topics with the colleagues involved in advance.

The agreed systems are monitored automatically. When outages or error states are detected, we receive a notification with the available technical information. This allows us to detect anomalies even if no report from you has been received yet.

How quickly we respond and start processing depends on the urgency, the agreed service hours and the defined processes. We record the priority of a task in the ticket system and inform the responsible people.

We correct errors in our implementation at no additional charge. We check the cause, inform you about the effects and agree the next steps with you.

If important functions fail, we treat the fault according to its urgency. The agreed service hours and procedures for urgent cases apply.

Our agency app informs us about relevant TYPO3 and security updates for the systems we support. We assess new advisories based on their criticality and the components used.

We implement smaller updates within the agreed maintenance process. We agree larger updates and changes with effects on functions, effort or operation with you in advance.

We agree the billing model and payment plan before the order. For services billed by effort, we record working hours per task. The invoice shows traceably which services were provided and which tasks or project sections they are assigned to.

We do not require down payments. As a rule, we bill work performed by effort at the end of the month according to project progress. We agree in the quote which form of billing applies to your project. We agree additional services with you before implementing them.

For fixed-price projects and agreed contingents of hours, the respective quote and contract conditions apply. We calculate and agree larger projects such as TYPO3 version changes separately in advance.

If we become aware of technical developments or regulatory requirements that may be relevant for your website, we point them out to you and explain possible technical effects.

The legal assessment remains with you or your legal advisers. On this basis, we support you in planning and technically implementing necessary adjustments.

For professional questions, you talk directly to the people who plan, design and develop your project. Your central contact coordinates the collaboration and involves the respective responsible experts in important decisions.

Our compact structure allows short internal coordination. The central contacts remain as constant as possible during the project. Should a responsibility change, we ensure a documented and coordinated handover. You can find out more about our team and working with our network on our agency page.
